Publication Policies
8. Editorial Rights of the Journal
The Editorial Committee retains full editorial authority over the organization, sequencing, scheduling, formatting, and publication of accepted manuscripts. The Committee shall determine the appropriate issue, order of publication, presentation, and publication date of each accepted paper, taking into consideration the Journal’s editorial priorities, thematic balance, and publication schedule.
Acceptance of a manuscript does not guarantee its immediate publication in a specific issue, and the Editorial Committee may adjust the publication schedule when necessary to maintain the Journal’s quality, continuity, and editorial standards.
12. Ethical Policy
The Petroleum Research Center Journal is committed to maintaining the highest standards of research integrity, publication ethics, transparency, and originality. These standards apply to all authors, reviewers, editors, and other parties involved in the publication process.
The Journal has a zero-tolerance approach to research and publication misconduct, including, but not limited to:
- Plagiarism: Presenting another person's words, ideas, data, or work as one's own without appropriate acknowledgment.
- Fabrication: Inventing data, results, or other research information that did not arise from the reported study. Authors shall provide an appropriate Data Availability Statement where applicable.
- Falsification: Manipulating, altering, omitting, or misrepresenting research data, methods, images, or results in a way that may distort the findings.
- Concurrent Submission: Submitting the same manuscript simultaneously to more than one journal or publishing body.
- Duplicate or Redundant Publication: Publishing substantially the same research or content in more than one publication without appropriate justification or disclosure.
- Ghost, Gift, or Guest Authorship: Including individuals who have not made a substantial contribution or excluding individuals who have made substantial contributions. Authorship shall be transparent and supported by the CRediT Contributor Role Statement where applicable.
- Undisclosed Conflicts of Interest: Failure to disclose personal, financial, institutional, or professional interests that could reasonably influence the research, review, or editorial decision.
The Journal shall investigate suspected misconduct fairly, confidentially, and in accordance with established publication-ethics principles. Depending on the nature and severity of the case, actions may include rejection of the manuscript, correction or retraction of a published article, notification of the relevant institution or responsible authority, or other appropriate measures.
The Journal shall maintain the accuracy and integrity of the published record by issuing corrections, expressions of concern, or retractions when necessary.
12.4 Field Sampling and Environmental/Operational Data Ethics
Manuscripts involving field sampling, environmental monitoring, or operational data obtained from oil, gas, or petrochemical facilities must comply with applicable legal, institutional, environmental, and operational requirements.
Where applicable, the corresponding author shall confirm in the Methodology or Acknowledgements section that the necessary permission was obtained from the relevant facility owner or authority before data collection.
Authors shall also disclose the confidentiality status of operational or production data.
Confidential or commercially sensitive information must be appropriately anonymised or aggregated, or used with the written permission of the data-owning entity.
Where such confirmation is required but not provided, the manuscript may be returned to the authors for clarification or completion before peer review.
12.5 Corrections, Expressions of Concern, and Retractions
To maintain the integrity of the published record, the Journal may issue the following post-publication notices:
- Correction/Erratum: Issued to correct an error in the published article that does not invalidate its findings or conclusions. The original article shall normally remain available with a linked correction notice.
- Corrigendum: Issued when an author identifies an honest error in their published work that requires correction but does not materially affect the validity of the study’s conclusions.
- Expression of Concern: Issued when significant concerns regarding a published article are under investigation but a final determination has not yet been reached.
- Retraction: Issued when the reliability or integrity of a published article is seriously compromised, including cases involving plagiarism, fabrication, falsification, duplicate publication, or fundamental errors that invalidate the principal conclusions. The original article shall remain accessible in the archive where appropriate and shall be clearly marked “RETRACTED,” with a linked retraction notice.
Before issuing a correction, expression of concern, or retraction, the Journal shall provide the authors with an appropriate opportunity to respond, except where exceptional circumstances require immediate action to protect the integrity of the scholarly record.
13. AI Policy
The Petroleum Research Center Journal (PRCJ) permits the use of artificial intelligence (AI) and AI-assisted tools to support authors in improving language, grammar, readability, formatting, and other appropriate aspects of manuscript preparation. The use of such tools must not compromise the originality, integrity, confidentiality, or scientific validity of the work.
The following requirements apply
- AI tools must not be listed as authors or co-authors. Authorship requires accountability and responsibility that can only be assumed by human authors.
- Authors remain fully responsible for the accuracy, originality, integrity, and ethical compliance of all content submitted, including data, analyses, results, conclusions, references, figures, and other manuscript components.
- AI-generated or AI-assisted content must be carefully reviewed and verified by the authors before submission. Authors are responsible for correcting inaccurate, fabricated, biased, or inappropriate information and for ensuring that all references and citations are genuine and correctly represented.
- AI tools must not be used to fabricate, manipulate, or misrepresent data, results, images, references, or other scientific content.
- Authors must disclose the use of AI or AI-assisted tools when such tools have been used in preparing the manuscript. The disclosure should be included in a statement immediately before the References section and should identify the tool used and describe its purpose.
- Confidential or sensitive information must not be entered into AI systems where doing so could compromise the confidentiality of unpublished research, personal information, proprietary data, or information belonging to research institutions or third parties.
- Reviewers and editors must not use AI tools to evaluate, summarize, rewrite, or generate peer-review reports or editorial decisions, because manuscripts and review materials may contain confidential and unpublished information. AI tools may be used only for purposes expressly permitted by the Journal, such as similarity or plagiarism screening, where applicable.
- Failure to disclose significant AI use, or misuse of AI in a manner that compromises research or publication integrity, may be considered a breach of the Journal's Ethical Policy and may result in appropriate editorial action.
Example of an AI Disclosure Statement
“In the preparation of this manuscript, the authors used [AI tool name] for [briefly describe the purpose, e.g., language editing and improving readability]. The authors have carefully reviewed and edited the output and take full responsibility for the accuracy, originality, and integrity of the content of this manuscript.”
14. Modes of Publication
The Petroleum Research Center Journal (PRCJ) is published in both print and electronic formats. The electronic edition is made available through the Journal’s official website.
The Journal is published annually, with one (1) issue per year.
- Each issue is assigned a sequential volume and issue number. The publication schedule for the forthcoming year, including indicative submission deadlines for each issue, is published on the Journal’s website by the end of the preceding year.
The Journal may publish accepted articles online ahead of the scheduled issue, where applicable, without changing their assigned volume and issue details.
15. Authors' Rights
Authors of published articles are entitled to receive three (3) printed copies of the issue in which their article appears.
In addition, the corresponding author will receive an official publication confirmation letter issued by the Editor-in-Chief, confirming the publication of the article and providing its volume, issue number, publication year, DOI, and electronic access link, where applicable.
Authors retain the right to cite and disseminate the bibliographic information and official link to their published article, subject to the Journal’s copyright and publication policies.
18. Privacy Statement
The Petroleum Research Center Journal (PRCJ) is committed to protecting the privacy and confidentiality of personal information relating to authors, reviewers, editors, and website users.
Personal information collected during manuscript submission, peer review, publication, and use of the Journal’s website—such as names, institutional affiliations, email addresses, ORCID iDs, and manuscript-related information—is collected and used only for legitimate editorial, peer-review, publication, indexing, archiving, and journal administration purposes.
The Journal does not sell, rent, or disclose personal information to unauthorized third parties.
Information may be shared with trusted service providers, indexing and abstracting services, digital repositories, or other organizations where necessary to support the Journal’s legitimate publishing, indexing, archiving, and dissemination activities.
The Journal takes reasonable technical and organizational measures to protect personal information against unauthorized access, disclosure, alteration, loss, or misuse and retains such information only for as long as reasonably necessary for legitimate journal and scholarly-record purposes.
Authors, reviewers, and editors are expected to respect the confidentiality of personal and manuscript-related information obtained through the Journal’s submission and peer-review processes.
By submitting a manuscript or registering with the Journal, individuals acknowledge and consent to the collection, processing, storage, and use of their information in accordance with this Privacy Statement and the Journal’s publishing activities.
The Journal may update this Privacy Statement when necessary to reflect changes in its publishing practices, applicable requirements, or digital services.
19. Archiving and Preservation
The Petroleum Research Center Journal (PRCJ) is committed to the long-term preservation, integrity, and accessibility of all published scholarly content.
All published articles and journal issues are made permanently available through the Journal’s official website, including current and previous volumes and issues. Published content will not normally be removed from the Journal’s website. In exceptional circumstances, such as a formal retraction issued in accordance with the Journal’s Ethical Policy, the original article will remain part of the scholarly record and will be clearly identified as retracted rather than deleted, where technically and legally appropriate.
The Journal’s website serves as the primary platform for accessing its published content. The Journal also seeks to maintain appropriate digital preservation and backup arrangements to protect published material against accidental loss, technical failure, or changes to the Journal’s website or publishing infrastructure.
Where appropriate and available, published content may also be deposited or preserved through institutional repositories, recognized digital archiving services, indexing and abstracting databases, or other trusted scholarly preservation systems to support long-term accessibility and continuity of the scholarly record.
The Editorial Committee is responsible for taking reasonable measures to ensure the continued availability, integrity, and accurate preservation of the Journal’s published content.
21. Indexing, ISSN and Bibliographic Identity
The Petroleum Research Center Journal (PRCJ) holds an International Standard Serial Number (ISSN) for its print and electronic editions, where separately assigned. The relevant ISSN(s) are displayed on the Journal’s website and in the appropriate journal front matter.
The Petroleum Research Center is committed to increasing the international visibility, discoverability, and citation of PRCJ publications and is pursuing inclusion in recognized regional and international indexing and abstracting databases, as appropriate to the Journal’s scope and eligibility.
The Journal’s current indexing and abstracting status is published on its official website and updated when new indexing or database inclusion is formally confirmed. The Journal does not claim inclusion in any database until such inclusion has been officially confirmed.
22. Manuscript Withdrawal Policy
An author may request withdrawal of a submitted manuscript before a final editorial decision by submitting a written request to the Editor-in-Chief, signed by the corresponding author and, where appropriate, confirmed by the co-authors. The request should state the reason for withdrawal.
If a withdrawal request is submitted after the manuscript has entered peer review, the Journal will record the withdrawal and notify the assigned reviewers that the review process has been discontinued. Repeated withdrawal of manuscripts after peer review has commenced, particularly without a reasonable justification, may be considered by the Editorial Committee when assessing future submissions.
Once a manuscript has been formally accepted for publication, withdrawal will normally not be permitted. Exceptions may be considered only in exceptional circumstances, such as a serious and previously undetected ethical or legal issue and require the written approval of the Editor-in-Chief.
Withdrawal after acceptance without appropriate editorial approval may be considered a breach of the author’s submission declaration and may result in appropriate editorial action in accordance with the Journal’s policies.
